Job Summary:
In your pivotal role as Sr. Administrative Asst., Clinical, you will be a trusted administrative partner to our clinical team, helping keep day-to-day operations running smoothly and ensuring our physicians (MDs) and advanced practice providers (APPs) have the support they need to focus on patient care. Your work will touch many areas—scheduling, coordination, communication, and organization—so if you enjoy variety, collaborating with others, and being the person who helps everything come together, you’ll feel right at home.
You’ll provide administrative support that may include ordering and tracking supplies; managing calendars; coordinating travel; processing reimbursements; and supporting Faculty and Provider Time Away in coordination with call schedules, clinic schedules, and operative schedules. You’ll also assist with professional needs such as licensure and membership tracking, manage incoming calls and provider communications, and help maintain CVs—supporting items like manuscripts/publications, presentations, mentees, grants and other funding. You’ll also contribute to special projects as assigned, bringing organization and follow-through wherever needed.
Key Duties/Tasks will consist of :
Providing a wide range of administrative support, including scheduling, travel coordination, and budget reconciliation.
Creating and maintaining accurate records and documentation related to financial processes, planning, correspondence, procedures, and other operational needs.
Compiling and organizing data, analyzing information, and summarizing findings to support team and department priorities.
Preparing reports, tracking documents, and other materials as requested.
Pitching in on additional responsibilities as needed—this role is dynamic, and your flexibility and initiative will be valued.
REQUIRED:
High School Diploma or GED
4 years of relevant experience
You will enjoy a hybrid remote model where you may perform some of your work remotely from home, and you will work Monday-Friday, 8:00 AM - 4:30 PM.

KEY RESPONSIBILITIES
• Performs a variety of administrative support which may include, but not limited to, scheduling, booking travel and budget reconciliation.
• Ensures data/records are created and maintained to document financial, planning, correspondence, procedures, processes and other information.
• Compiles data, analyzes information and summarizes findings in support of an area.
• Prepares reports and other documentation as requested.

TECHNICAL CAPABILITIES
• Human Resources Policies and Procedures (Fundamental Awareness): Knowledge, adherence and application of human resources policies and procedures.
• Ad Hoc Reporting (Intermediate): The ability to access information from databases and prepare reports.
• Financial Processes (Novice): Ability to monitor costs, expenses and revenue as well as the ability to manage those costs and expenses in relation to budgeted amounts.
• Clerical/Administrative (Intermediate): Clerical/Administration is a skill which includes most clerical and administrative functions typically carried out by secretaries, administrators and others who perform a clerical role. Among the duties are: Ad Hoc Reporting, Calendar Maintenance, Data Entry, Document Duplication, Document Filing and Maintenance, Document Preparation, Employee Record Maintenance, Employee Time Recording, Faxing and Electronic Mailing, Inventory Management, Mail Sorting and Distribution, Meeting Coordination and Scheduling, Message Management, Receptionist Tasks, Special Projects, Spreadsheet Preparation, Travel Arrangements, and Word Processing and Typing.
• Data Analysis (Intermediate): The ability to analyze data in an accurate manner.
